Payment Schedule Change for Biweekly Payroll
Beginning March 22, 2024, employees on the biweekly pay schedule will receive pay one week after the end of the pay period. The pay schedule will remain every other Friday. All of the pay dates, pay periods, and lock and unlock dates for the time entry system are listed on the Payroll Schedule.
Why the change?
The university has taken the Workday implementation as an opportunity to evaluate business operations and adopt best practices and industry standards where possible. Shortening the wait between the end of the pay period and payday benefits our employees by paying them sooner. It may also make it easier for new employees to transition to their new roles with us as the wait for the first paycheck will be shorter.
Does this mean I will get paid every Friday?
No, payday for the biweekly pay schedule will still be biweekly (that is, every other Friday).
What does this mean for you?
The benefit of the change is the shorter wait to get paid; however, this means timesheets must be approved on a tighter schedule. The new timing gives the Payroll Office less than two days to process pay for more than 5,200 biweekly employees. Therefore, it is imperative timesheets are submitted no later than the last day of the pay period. Anyone who does not submit their time before time entry locks may have a delayed payment.
What happens if I don’t submit my time before time entry locks?
If your time is not submitted and approved before time entry locks on the Monday evening after the end of the pay period, your pay may be delayed. If you miss the deadline, time entry reopens Thursday morning and time entered (or corrected) will be adjusted on the next regular biweekly payday.
Tips to get paid on time
- Bookmark the Payroll Schedule and add the dates to your calendar!
- Employees should submit time entry by the end of the day on the Friday at the end of the pay period.
- Managers (or timekeepers) must approve the time by the end of day, the Monday after the pay period ends.
- Time entry locks at 11:59 p.m. on the Monday after the pay period ends. No one can enter or approve time for the most recent pay period while time entry is locked.
